Who we are

This website is operated by Smart-Waves Technologies Private Limited("Smart-Waves", "we", "us"), a company incorporated in India with its office at I – Floor, Plot No. C‑1, Electronic Complex, Kushaiguda, Hyderabad – 500062, Telangana, India.

For the purposes of the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the rules made under it, Smart-Waves is the Data Fiduciary for the personal data described in this policy.

02

Scope of this policy

This policy covers personal data we receive through smart-waves.co.in, including the inquiry form on our contact page, and messages you send to the email addresses published on this website (for example, job applications sent to info@smart-waves.co.in).

It does not cover personal data exchanged under a quotation, purchase order, non-disclosure agreement, or other contract with us. Those arrangements are governed by their own terms.

03

Personal data we collect

Information you give us

  • Inquiry form: your full name, work email address, and message, and, if you choose to provide them, your telephone number and company or organisation name.
  • Email: whatever you include in your message, such as contact details, a CV or resume, and details of your role or requirement.

Information collected automatically

  • IP address: read when you submit the inquiry form so we can limit repeated submissions and block automated abuse.
  • Server logs: our hosting provider records standard technical data when pages are requested, such as IP address, browser type, the page requested, and the time of the request.

We do not use analytics, advertising, or tracking tools on this website. Please do not include sensitive personal data, such as financial, health, or government identity information, in your inquiry.

04

How we use your data

We use personal data only for the purposes it was given or collected for:

  • to respond to your inquiry, request for quotation, or partnership or investor enquiry;
  • to prepare proposals and manage any business relationship that follows;
  • to assess job applications you send us;
  • to protect the website and inquiry form against spam, fraud, and misuse; and
  • to comply with our legal obligations.

We do not sell your personal data, and we do not use it to send you marketing that is unrelated to your inquiry without your consent.

06

Who we share it with

We share personal data only with parties that help us run our business, under obligations to protect it:

  • Zoho Corporation, which provides the customer relationship management and workflow tools that receive and store inquiries submitted through this website;
  • Our website hosting and email providers, which process data as needed to deliver the website and our email; and
  • Government or law enforcement authorities, where we are required to by law.

If Smart-Waves is involved in a merger, acquisition, or restructuring, personal data may be transferred to the successor entity, which will remain bound by this policy.

Our service providers may store or process data on servers located in India or in other countries. Any transfer outside India is made in line with the DPDP Act and any restrictions notified by the Government of India.

07

How long we keep it

We keep inquiry records for as long as needed to respond to you and to manage any business relationship that follows. If an inquiry does not lead to a business relationship, we aim to delete it within 24 months of our last contact with you.

Job applications are kept for up to 12 months so we can consider you for other suitable roles, unless you ask us to delete yours sooner. We may keep some data for longer where the law requires it, or to establish or defend legal claims.

08

How we protect it

This website is served only over encrypted HTTPS connections, access to inquiry records is limited to staff who need it, and the inquiry form is protected against automated abuse. No method of transmission or storage is completely secure, but we take reasonable security safeguards to prevent personal data breaches and will notify affected people and the Data Protection Board of India as required by law if one occurs.

09

Your rights

Under the DPDP Act, you have the right to:

  • request a summary of the personal data we hold about you and how we process it;
  • ask us to correct, complete, or update inaccurate or incomplete data;
  • ask us to erase your data where it is no longer needed for the purpose it was collected for;
  • withdraw your consent;
  • have your grievances addressed by us; and
  • nominate another person to exercise these rights on your behalf in the event of death or incapacity.

To exercise any of these rights, email info@smart-waves.co.in from the address you used to contact us. We may need to verify your identity before acting on a request. We will respond within the period required by law, and in any case within 90 days.

If you are not satisfied with our response, you may file a complaint with the Data Protection Board of India.
